No matter the work we do for a living, we are likely required to use some sort of a checklist, if not every day, then at least on occasion. Some of us might think they are fantastic tools that keeps us focused and efficient, while others may think they are nothing but a wasted effort enforced by our corporate overlords to keep us busy. By the end of this, I hope to have convinced you that it’s more about the former, than the latter.
Experienced people don't usually skip checklists because they don't care about safety or quality. They skip them because they believe their experience makes checklists unnecessary.
It's a mindset that exists across many industries. Whether it's a forklift pre-use inspection, a lifting equipment inspection, routine maintenance job, commissioning tasks, system audits or safety rounds, checklists are often viewed as an administrative burden and a corporate requirement rather than a tool with practical applications.
The irony is that the people most likely to dismiss checklists are often the most experienced. They know the equipment, understand the process, and have performed the task hundreds of times before. To them, completing a checklist can feel like proving they know how to do a job they have already mastered, or worse, that someone else is trying to tell them how to do their job.
That view misses the real purpose of a checklist.
A good checklist isn't there to teach skilled people how to do their job. It's there to help them perform that job consistently, document what happened, and capture valuable operational knowledge.
That's an important distinction.
The value of a checklist isn't in reminding someone to tighten a bolt or inspect a chain. It's in creating a reliable record of work that can be analysed, shared, and improved over time.
Without that structure, organizations become dependent on individual subjective experience. Knowledge stays with individuals instead of becoming part of the organization. Lessons learned are forgotten, recurring issues remain hidden and improvements are difficult to implement consistently.
Good documentation changes that.
It creates traceability, strengthens accountability, and gives teams confidence that work has been completed correctly. It also provides the evidence needed for compliance, audits and continuous systemic improvement.
Most importantly, it allows organizations to improve the process and not just the people carrying it out.
Not all checklists are created equal.
Poorly designed checklists quickly become a box-ticking exercise that frustrates users and delivers little value. Effective checklists, on the other hand, become part of the way people naturally work.
